Technology Update

 July 20, 2022

ASEE Listservs Will Be Ongoing

We have heard your feedback and know how much you value ASEE listservs as a communication platform and we will keep them accordingly. Please note that, going forward, any updates to membership on a listserv will take up to a week to process because we are now using a different member database platform not directly tied to the listservs database.

Thank you for your patience as we continue evolving to better serve valuable members like you.

Usability Study: Seeking Volunteers

Are you still planning to register for the Annual Conference?

If you have not yet registered for the 2022 Annual Conference but still plan to, we would like to meet with you. Our web development team is looking for 5 to 10 ASEE member volunteers to meet with via video call to get your feedback about the registration process and participate in a brief interview with our User Experience staff. If you are interested in scheduling a time to walk through the registration process with an ASEE staff member, please fill out this 3-question survey and we will contact you.

Your input is valuable!

Please help make the ASEE website search function more intuitive for you, our valued members. We invite you to contribute to the development process by participating in a Card Sorting study. The activity takes 15-20 minutes to complete and will help to establish trends and common terminology for our vast content.

So far, we have had 42 participants in the Card Sort study, 21 of which completed 100% of the activity. We need at least 30 participants to complete 100% of the activity to get meaningful results. Help us get to 30! Participate in the study.

ASEE Website Feedback

You may not have noticed, but our team has made dozens of small improvements to the user interface on ASEE.org in recent weeks. Do you feel like we have missed something? A glitch? A button that doesn’t work? Something missing or out of place? Feel free to leave feedback via the feedback tab on any page on ASEE.org.

Faceted Search is on the way to ASEE.org

ASEE’s design and development teams are working hard to finalize faceted search for ASEE.org and select affiliated sites. As ASEE continues to improve your membership experience, we would like to share our latest technology updates with you.

2022 ASEE Annual Conference (June 26-29. Minneapolis, Minnesota)

In preparation for the conference, we have successfully added 320 technical sessions to the Slayte System conference module and are working to add the 235 non-technical session requests that have been accepted. This will allow you to preview sessions being offered at the annual conference before you register. The Slayte System is also being used for conference award nominations (between November and February of any given Society year). Additionally, we are rolling out “how-to” guidelines to assist conference-paper reviewers.

ASEE Awards

Division awards are now published on the Awards Page.

Impexium Account Management System

Both new and renewing ASEE individual memberships can now be processed via the Impexium system that manages our website, www.asee.org

ASEE Divisions

For your convenience, we added web-page functionality that displays expandable categories and printable PDFs on the Divisions page

ASEE Hub

The e-Fellows mentoring program is now available on the ASEE Hub

As ASEE continues to improve your membership experience, we would like to share our latest technology updates with you.

Journal Reviews: Slayte system

In recent weeks, journal reviewers have reported their inability to see drafts that were assigned to them for review. Currently, the Slayte system does NOT have the functionality to send a follow-up email notification to a reviewer WHEN a program chair unassigns them from the review. We have asked our vendor to add this functionality, which they are working to develop and implement. We will inform ASEE members when this feature is live.

404 Web Pages: Improving ASEE Website

A 404 web page is a landing page that tells your site viewers the requested page is unavailable or, in some cases, doesn’t exist. To improve our new website, ASEE has implemented an online form that allows you to communicate with our team whenever you land on a 404 web page denoting missing content. The form allows you to tell us what is missing on our website so that we can follow up and connect you with the information you need.

Career Success

We recognize that finding the right position that matches your skills and interests is key to your academic success. So we are excited to share that you can search our website for academic positions based on keywords, location or categories. For example, visiting www.asee.org/education-jobs/Job will allow you to search for jobs by state or based on categories including (but not limited to) tenure-track, visiting, and adjunct. Click here to explore career opportunities.

As ASEE continues shifting to a new website and digital platform, we want to keep you appraised of our latest updates: We are continuing to redirect web pages from our old website to our new website to ensure that key information you need is available on the new platform. Additionally, we are aware that some people can't donate when they renew their membership because of ASEE's shift to new software.

Here is how you can make a donation to support engineering education and our ASEE community.

  • Members and non-members wishing to make unrestricted donations to ASEE should use the following link: https://monolith.asee.org/public/donation/now
  • Unfortunately, we are not currently able to accept donations for specific purposes (e.g. donations in support of ASEE Sections) at this time.  We are working to correct this issue.

February 02, 2022

As ASEE continues to modernize its technology platform this year, we would like to share the latest updates with you:

  1. In our previous update, we announced that NEW ASEE members could sign-up for membership at: www.asee.org/membership-and-communities/membership. We are thrilled to announce that CURRENT ASEE members (whose membership is up for renewal) can now pay for their membership renewal by following instructions in the email they receive OR by clicking on “Membership Renewal” under the “MEMBERSHIP & COMMUNITIES” tab on the ASEE homepage, www.asee.org. (Note: Membership renewal will be immediate for credit card payments and may take place a few days after ASEE processes your check.
  2. ASEE continues to roll out customer-service features that allow you to give feedback across ASEE web pages. In addition to our main website (www.asee.org), the orange-colored "Feedback" button is now available at our members-only webpage, https://members.asee.org. Please feel free to share any feedback you have about any website issue, no matter where you access the "Feedback" button. We will offer this feature on additional web pages in the months ahead.
  3. As part of our website redesign, ASEE members can now visit www.asee.org/prism-pdf-issues to access beautifully presented PDF archives going back to 2013 for Prism, ASEE's award-winning magazine.

Note:

  • Members can email membership@asee.org for assistance.
  • Click here to read previous technology updates and a Frequently-Asked-Questions document explaining ASEE's ongoing improvements.

January 19, 2022

The ASEE Headquarters team is working hard to improve your experience as we continue transitioning this year to our new website and digital platforms. In our first technology update with you, we shared the challenge of shifting away from Monolith, our old and antiquated homegrown Association Management Software, to three separate systems offering more flexibility, services, options and convenience. We promised to keep you appraised of our progress as we strive to improve the value of your ASEE membership.

Since our previous message, here are two technology updates we would like to share with you:

1) ASEE committee directories are now available online: www.asee.org/about-us/who-we-are/leadership/committees

2) People looking to join ASEE for the first time can create new accounts and purchase ‘Individual’ memberships at www.asee.org/membership-and-communities/membership

Note:

  • If you need assistance, please email membership@asee.org
  • Click here to read our first technology update and a Frequently-Asked-Questions document about ASEE's technology improvements.

We appreciate your patience and partnership as ASEE modernizes its technology platforms to better serve you. Thank you for being a part of the ASEE community!

December 16, 2021

Dear ASEE Members:

The pace of daily life is quickening and, as with COVID, the ups and downs seem to be more extreme than ever. Central to much of this are our attempts to keep pace with and sort through a blizzard of data, information, misinformation, fact, fiction, wisdom, and fantasy. The ASEE Headquarters team is working hard to keep pace with this unprecedented information boom by (a) identifying and using the right tools, (b) innovating new products and services, and (c) continually improving the quality of the offerings we provide to you.

With approval from the ASEE Board of Directors, this year we began phasing out Monolith, our old and homegrown Association Management Software (AMS) which served as a combined abstract/paper management system, web application system, and website.  Monolith is based in obsolete code, poorly documented, and cannot communicate with or integrate with commercial systems.  Nonetheless, we were able to customize it to our exact needs. So, it’s like a ratty old sweater (or favorite chair, etc), it needed to be replaced, but anything new is not going to immediately fit as comfortably, even if it serves us better in the long run.

We are replacing Monolith with three separate systems:

  1. New AMS System (Impexium) to manage members and membership information, conference/event registrations, committees, and to manage sales and process payments of ASEE products and services.
  2. New Abstract/Paper Management System (Slayte) that is seamlessly integrated with Impexium to primarily manage submissions, reviews, request sessions and awards nominations, etc.
  3. And a newly designed ASEE website (utilizing the Kentico content management system) that is seamlessly integrated with Impexium for single sign-on, accessing gated content, and for enabling “online” registrations and membership renewals and member-profile management, etc.

Unfortunately, this transition has not gone as smoothly as we had hoped.  And we apologize for the “growing pains” and disruptions you are experiencing. We have asked you to shift from a singular and highly customized system to three new systems, and in some cases, we have asked you to switch "back-and-forth" between new and old systems for functionality that has not fully crossed over. We recognize that this is confusing and ask for your continued patience and understanding.

Please know that your ASEE Headquarters team is working diligently to fix these issues and make our technology fully functional as soon as possible within the coming months.  Moreover, we will assiduously continue to keep you appraised of our progress as we strive to maintain the value of your membership in ASEE.

We are confident that this technological horizon is worth crossing because our new digital platforms will ultimately offer more flexibility, services, options and convenience. For example, our new member engagement and collaboration platform (“ASEE HUB” - https://aseehub.asee.org/home) already hosts a digital "hub" where members can dynamically share ideas, best practices, questions, documentation, and event information. The ASEE HUB centralizes member communication and will replace our division, geographic council, and institutional council listservs that are set to retire in December 2022. In the coming months, an integration between the new ASEE website and ASEE HUB will allow ASEE members to seamlessly access ASEE HUB content with a single sign-on.

We have developed a Frequently Asked Question (FAQ) document of the top 5 most received questions.  See below.

We are also collecting feedback from our members to help identify ways we can improve our digital experience. Please click here to participate in a brief questionnaire.  Members have the option to include their email address at the end of the questionnaire to take part in additional studies that will further benefit user experiences.

Thank you for your patience as we continuously evolve to better serve you. We are grateful for your partnership. Happy holidays!

Sincerely,

Question 1: How many ASEE logins do I have?

Answer 1: While ASEE is working to transition all member information from the old Association Management Software, AMS (Monolith), and old website (https://monolith.asee.org), to the new AMS (Impexium) and new website (https://www.asee.org ), each member will need two sets of login credentials.

Note 1: Login credentials for the old website have not changed

Note 2: Login credentials for the new website:

User id: Your email address (Same as the one you use for the old website)

Password: Whatever you have set up while activating your account on the new website. If you have not yet activated your account on the new website, please click on the reset password link and follow the prompts to reset the password and activate your account.

Question 2: How (and where) do I renew my ASEE membership OR pay for conference/event registration that I processed on the old website but have not yet paid for?
